Content of Kyoto University Rare Materials Digital Archive (Rare Materials held by Faculty of Engineering: excluding Architectural Drawings by Josiah Conder, Important Cultural Property)

The Kyoto University Faculty of Engineering is engaged in digitizing rare materials held by each school and making them available on the Kyoto University Rare Materials Digital Archive.

Copyright of digitized images generally belongs to the Faculty of Engineering school that hold them. It is not permitted to distribute, alter, or reproduce these, or any part of these images without a prior written authorization.

Conditions of Use

It takes time for the application procedure. It is necessary to submit the “2. Authorization to Use application” form five weeks before using the materials, or the “3. Special Authorization to Use” application form four weeks before using materials.We will not accept any applications that do not follow the above timeline.
The committee will review applications. Please understand that not all applications will be approved.

Terms of Use

Reuse of rare images is permitted only for research and educational purposes.

Please note the following rules;

• Reuse of images are only permitted for published works (books, journals, academic reports, newspapers etc.) and television broadcasts. We do not permit the reuse of images for publication on the Internet.
• Do not edit images without permission
• Reuse of rare images is permitted only for the purposes approved in the applications.
• Submit a copy of the publications to the Kyoto University Faculty of Engineering
• The images are to be accompanied with the citation: " The Kyoto University Faculty of Engineering 〇〇〇 School"

Procedure of Application

1.It is necessary to inform the following information in advance by email etc.

• Purposes and methods of reuse of rare images
• Images that you want to use (title and pages are required)
• Proposals that state the name of the publication or television broadcast that will reuse the rare images.
• Visit day to the library

2.Submitting the Application

 The committee will review applications upon submission. It normally takes about a week (at least 2-3 days) for the review process. If the committee judges that the reuse requires a fee, it will incur costs. Regarding the payment procedure, please refer to “3. How to Submit Special Authorization to Use Application” and “4. Payment Methods for Usage Fee”

3.How to Submit Special Authorization to Use Application

If the committee judges that the reuse requires a fee, your application is processed under “京都大学図書館保管資料特別利用規則”

Fill in the “Special Authorization to Use” application form, sign on the designated line, and mail it to the designated address. After we receive your application, we will send out, if approved, the “Special Authorization to Use” permission and bill in about two weeks.

Important: Please note that we cannot accept cancellation requests after we receive an application. You will be required to pay the reuse fee, if approved, even if you do not use the images. Please keep this in mind before submitting your application.
If it is your first time doing business with Kyoto University, you have to register as a contractor for payment. We will inform you if this is the case.

4.Usage Fee Payment Methods

Please pay the usage fee  by the due date indicated on the bill.
Even if you do not use the images, the payment obligation remains.
